DESCRIPTION

The role of the Purchasing Assistant is to support the day-to-day purchasing at the facility. The procurement coordination is with the production, maintenance, and engineering staff. The Purchasing Assistant will use SAP as a purchasing tool. He/she will update the approved corporate vendor list and use them as the plant’s primary vendor. Reports will be generated for weekly meetings to document the purchasing activities.

RESPONSIBILITIES
• Assist in creating and processing purchase orders (POs) and goods receipts (GRPOs) in the ERP system.
• Obtain SAP data and help to develop formalized reports specifically on areas of maintenance spend:
• Identify repeat breakdown and spend
• Categorize top spending areas.
• Assist in reducing maintenance spend through data analysis.
• Help manage blanket purchase orders and monitor releases and usage.
• Request quotes from vendors and assist with comparative evaluations.
• Send POs to vendors when needed and follow up on order confirmations or delays.
• Maintain organized procurement records and support report preparation (e.g., open orders, vendor performance).
• Track delivery timelines and help resolve discrepancies in quantity or price.
• Coordinate with internal teams (e.g., maintenance, operations, finance) to clarify needs and timelines.
• Support the Procurement Manager in vendor communication, data entry, and escalations as needed.
• Ensure accuracy and completeness in procurement documentation and follow internal procedures.
• Assist in internal and external procurement audits by organizing documentation, responding to information requests, and helping ensure compliance with purchasing policies.
• Assist in vendor onboarding by collecting necessary documentation, setting up new vendor profiles, and ensuring compliance with company policies and regulations.
• Support inventory management by tracking stock levels, monitoring order quantities, and coordinating with the warehouse or operations team to ensure inventory accuracy and timely replenishment.

REQUIREMENTS & QUALIFICATIONS
• Previous Related Experience Required: 2-5 years of purchasing experience in a manufacturing environment.
• Technical Skills Required to Perform this Job: Ability to use Microsoft Office Program, SAP. Ability to communicate clearly both written and verbal. Proficient in the use of calculations for ordering increments and costs.
• Bachelor’s Degree or applicable job experience.
